Overview

The Executive Assistant will provide high-level administrative support to the NIMH ITB Leadership Team and work closely with the NIMH CIO. The Executive Assistant will serve as a liaison to the senior management team; organize and coordinate executive outreach and external vendor collaboration; and support ITB special projects. The Executive Assistant must be creative and enjoy working within a collaborative environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This will be a contract position in support of our client working in Rockville, MD.  This is a hybrid position (telework and onsite) and will require a weekly onsite presence.  The current policy requires the resource to be onsite on Tuesdays and on an ad-hoc basis (subject to change).

Responsibilities

Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
Sustain a daily calendar of meetings and events.
Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
Coordinate travel arrangements for the ITB CIO and Federal staff, confirming all logistics, visa requirements, risk assessments and applicable government travel policies.
Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with.
Manage the ITB CIO daily meeting schedule and coordinate with internal and external resources to schedule meetings with the NIMH CIO.
Assist in preparing and managing presentations and decks.
Manage and maintain the NIMH ITB internal SharePoint site and ITB Organization Chart comprised of Federal and Contract team resources.
Be responsive to emails/texts/phone calls, with contact outside normal business hours.
Welcome the ITB Leadership Team’s guests by greeting them, in person or on the phone, answering or directing inquiries.
Represent the company and the ITB CIO in a positive light through great follow-through skills and sound judgment.
Conserve the ITB CIO's time by reading, researching, collecting and analyzing information as needed, in advance.
Organize complex calendars and schedules, resolving any scheduling issues.
Coordinate with other functions and Operating units on Office needs.
Perform general office operations management:
Coordinate general office mail retrieval/delivery and issuing of security passes to visitors.
Facilities maintenance coordination with building property management.
Catering and events coordination and logistical support for board-level and executive meetings.
Recording office expenditures and supporting the budget.
Coordinate the implementation of the office policies, standards, and procedures with the office executive sponsor.

 

Qualifications

5+ years of related experience required in working in an executive assistant role supporting C-Level executives.
Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
Excellent communication and time management skills; proven ability to meet deadlines.
Flexible hours as dictated by the needs of business for projects and meetings.
Ability to obtain/maintain a Public Trust clearance.

 Business sense - has a strong business sense and can decipher priorities and make sound judgment calls when needed.
Bachelor’s Degree in a related field, such as Business Administration
Commitment to excellence - perform duties at the highest level possible on a consistent basis.
Excellent communicator - able to interact with people of all levels in a confident, professional manner.
Demonstrate ability and temperament to work with sensitive information.
Team player - have team-oriented experience and approach.
Service focus - dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties.
Ability to think outside of the box with a sense of urgency.
