Redhorse Corporation is looking for a professional, dynamic, passionate, experienced Executive Administrative Assistant to provide overall administrative support in our headquarters office in San Diego, CA. To be successful in this role, you should be able to multitask and will be expected to collaborate, meet deadlines, communicate effectively, and remain open to new ideas. You will act as a point of contract between our executive leadership team and internal/external clients, as well as provide overall support to an active and fast-growing office and company. This position requires a high level of discretion, tact, poise, and diplomacy and actively supports our mission and goals by:

Providing support to the Redhorse Executive Leadership Team, as requested, to include:

  • Calendar Management
  • Meeting and Event Planning and Management
  • Travel Planning and Management
  • Expense Report Management
  • Correspondence Management
    1. Sorting and routing internal mail;
    2. Drafting correspondence and reports for supervisor's signature;
    3. Reviewing written material for accuracy and completeness;
    4. Checking calculations for accuracy; and
    5. Reconciling report data;
  • Monitoring and maintaining office supplies and research advantageous deals or supplies;
  • Greeting and monitoring the whereabouts of visitors while they are in our offices;
  • Providing support to Human Resources department, including assisting with onboarding activities, education/certification/training administration and records management support, and resume database management;
  • Supporting office events, including ordering meals or other supplies;
  • Coordinating with administrative and program staffs in Redhorse's other corporate office in San Francisco, Reno and Arlington, VA;
  • Serving as the systems administrator for the corporate Go-To-Meeting account and the in-office video-teleconferencing equipment;
  • Providing organized meeting materials before and after meetings at the direction of the Executive Leadership Team, to include the production and and distribution of succinct and timely meeting minutes;
  • Providing word processing support;
  • Coordinating with building management regarding service, repairs and other items related to the Redhorse office space;
  • Coordinating with office vendors;
  • Managing the company branding material such as the company logo and promotional materials.
  • Assisting with creating communications and marketing materials, including logos, slick sheets, and brochures;
  • Supporting and delivering a range of promotional, and informational presentations, and/or resource materials related to training activities and initiatives;
  • Producing graphics, including chart and diagram creations, workflow diagrams, presentations, and report layout;
  • Effectively managing large and small-scale administrative projects

Minimum Basic Requirements for Skills, Experience, Education and Credentials include:

  • Proficiency in written and spoken English
  • Expert-level facility with the Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Exemplary organizational, planning and time management skills
  • Full comprehension of office management systems and procedures
  • Ability to multitask and prioritize daily, weekly, and monthly work load
  • 3-5 years of experience providing administrative to support to an office of at least 25 individuals
  • 3-5 years of experience working with senior leadership teams
  • 3-5 years of experience supporting the processing of travel and expense report requests
  • Associates Degree required, Bachelors Degree a plus
  • Strong familiarity with using online calendars, standard office equipment (fax, printer, scanner) mobile devices, and in-office video-teleconferencing software, specifically Go-To-Meeting, and equipment, such as standard laptop computers and commercially available web cameras
  • Ability to comfortably lift 25 pounds
  • Work sitting or standing at a desk or conference table for extended periods of time with the ability to shift positions while working: sit, stand, pace, adjust positioning in any of those without issue
  • Movement in the office to collaborate with co-workers, attend meetings or retrieve documents from printer
  • Ability to work on-site daily from 8:30AM to 5:30PM; teleworking will not be authorized
  • Authorization to work within the United States for any employer without the benefit of visa of visa sponsorship
  • Ability to successfully pass a pre-employment background investigation that may include a review of consumer reports that are based upon the information available in various criminal records databases and credit reporting agencies.

Additional Preferred Requirements for Skills, Experience, Education and Credentials include:

  • Ability to assist with the development of presentations and support logistics for meetings
  • Experience creating promotional/informational presentations, including graphic support preferred
